Massage Healthcare of America Inc. Billing and Refund Policy for Insurance and Self-Pay Clients
Massage Healthcare of America Inc. (MHA) is an independent healthcare organization specializing in medically informed massage therapy services. MHA operates as a standalone provider and is not under the supervision of a physician nor classified as an ancillary service under a physician. All billing for covered and non-covered services is handled directly by MHA through our in-house billing department.
We work directly with insurance companies, including Aetna, Humana, Medicaid, and TriWest, as an in-network provider where applicable. This allows us to bill claims on your behalf and reduces the need for additional paperwork from patients.
Insurance Billing and Reimbursement

As an in-network provider, MHA submits all qualifying claims directly to your insurance carrier. Since we are contracted with most major insurers, patients generally do not need to request or submit superbills.

In the event MHA is out-of-network with your insurance provider, we can issue a superbill to assist you in independently submitting a claim for possible reimbursement. In many cases, you will not need to worry about this step.

Coverage and benefits vary by plan and are subject to medical necessity and policy restrictions. Any copayments, coinsurance, deductibles, or non-covered services are the responsibility of the patient.

Denied or partially paid claims remain the financial responsibility of the patient, and payment must be made directly to MHA in accordance with insurance terms.
Refund Policy
MHA does not issue refunds for services that have been rendered, whether billed through insurance or self-pay.
This policy is based on the following principles:

Insurance Reimbursement Integrity: Once claims are processed through insurance, payment distribution and claim tracking are regulated by payer guidelines. Reversing or refunding payments after treatment could interfere with compliance and benefit coordination.

Out-of-Pocket Services: For self-pay clients, service fees reflect the therapist’s professional time, clinical expertise, and individualized care provided during the session. These costs are non-refundable once the service has been completed.

Resource Allocation: Our therapists dedicate clinical time and resources specifically to each scheduled session. Once services are provided, these resources cannot be recovered, and documentation becomes part of your permanent health record.
MHA’s billing and refund procedures comply with insurance industry standards and reflect best practices for independent allied health providers. This ensures clarity, transparency, and proper alignment with payer reimbursement policies.
Cancellation Policies
We understand that emergencies happen, but we require at least 12 hour notice to cancel or reschedule an appointment without incurring a fee. If the cancellation notice is late or if a client does not show up, a fee may be charged or discounts may be revoked. In rare cases, where a genuine emergency is presented, we will allow for rescheduling.
What to Consider in the Policy
Satisfaction Guarantee:
We strive for client satisfaction, but please understand that refunds are not typical for any dissatisfaction after the service is completed. Our goal is always to work with you to ensure you are satisfied with your care.
Package Deals & Promotions:
If you have purchased a package of multiple sessions (not covered under insurance) and decide not to continue, we may consider providing a partial refund for unused sessions, based on individual circumstances. However, this will not apply to any completed sessions. Any unused portions of your package will be credited toward future visits, where applicable.
Exceptional Circumstances:
In rare and exceptional cases, where there is a legitimate issue or misunderstanding related to the service, we will review the situation on a case-by-case basis for those not covered under insurance. Partial refunds or credits may be issued at our discretion, though this is not guaranteed.
